Some people call me an OG of wedding business marketing, but deep down I'm just another person wearing PJ bottoms on Zoom. I swear a lot, I share my struggles, and I don't pretend to be better than anyone else.
Are you curious about how AI for wedding pros actually works in real life? I’m not talking about vague marketing hype or tech jargon. I’m talking about real wedding professionals using AI to save time, clarify their message, and book more of the right clients.
In this episode, I’m giving you a behind-the-scenes look at how members of The Wedding Business Collective are using two custom AI tools I created just for wedding pros. These aren’t generic prompts or robotic content generators. These are tools designed to help you write blog posts, social content, and emails in your voice for your ideal clients, and they’re built around the strategies I’ve taught for years.
Whether you’re totally new to AI or you’ve been dabbling but not seeing results, this episode will show you how to make AI actually useful in your wedding business. Tune in to see what’s possible when AI is built with you in mind.

That’s exactly what wedding pros are doing inside The Wedding Business Collective with the AI tools I created just for them. Hey there, welcome to the Evolve your Wedding Business podcast, the place to learn how to grow your wedding business without working 60 hour weeks all the time and getting overwhelmed and burning out. We’re about making things easier, and I’m your host, heidi Thompson. Today I am pulling back the curtain on something that’s been a huge win for members inside of the Wedding Business Collective. I’m talking about AI, but not in a vague, buzzy tech for tech’s sake kind of a way. This is about two custom tools I created and trained specifically for Wedding Pros to help you simplify your marketing and make it more effective. And the results well, they are bigger than even I expected.
So let’s talk about the problem we’re solving here, because AI sounds great, but what are we actually using this for? Well, let’s be honest, most wedding pros are juggling a million and a half things when it what to say, not having the time to say it consistently and not knowing how to stand out. You might sit down to write something and suddenly your brain just goes blank. Or you write something and think, yeah, that doesn’t sound anything like me. Or you write something and think, yeah, that doesn’t sound anything like me. Or, worse, you’re bouncing from blog posts to reels to website updates and wondering why none of it is really working. That’s why I created these tools not to add another thing to your plate, but to help you finally get marketing off your plate and working for you.
Over the past 13 years of working with wedding professionals to help them book more weddings, I’ve developed my framework for how I can teach any wedding professional to stand out to the clients they want to book more of and create marketing that helps them get booked. I get, though, that taking action on those things isn’t always the easiest thing in the world. You’re busy, I get it. So I created these two AI tools as a shortcut for members of The Wedding Business Collective.
Now our first tool is the WBC Marketing Assistant. This is the tool to go to when you need content ideas, captions, blog posts or emails and you don’t want to start from scratch. That’s the key here Never starting from scratch unless you really have to. Unless you really have to, it works by asking a little bit about your ideal client or asking you to provide a piece of content that you already know performed well. Then it gets to work, generating content that actually sounds like you, because it’s basing it off of something you’ve already created. It’s not generic, it’s not awkward or stiff.
It’s content that connects, because it’s rooted in your business and your people, and our members are using this tool to turn one great blog post into five new ideas. Into five new ideas repurpose high performing content across multiple platforms so they’re not having to reinvent the wheel and draft content they can actually use without spending hours and hours writing. I talked to so many wedding professionals who are just spending so much time creating, especially Instagram posts, and this is like having a marketing assistant who already knows your voice and understands your goals and if something doesn’t quite hit the mark, that’s where the whole chatbot thing comes into play, Because you can just talk back to it, tell it what you don’t like, ask it to revise, explain what you need, it adjusts and it learns. This is a true collaboration between you and this tool.
Our second tool is the client cloner, and this one is all about helping you understand and clearly communicate what makes you the perfect fit for your best clients. This helps members of the Wedding Business Collective implement my clone your best clients process, which is the foundation of their marketing plans. It’s what makes their marketing plans work. It’s what makes their marketing plans work, and inside the Wedding Business Collective, we don’t just guess at what your clients want. We go talk to them.
Why? Because when we guess, we are always wrong, at least in some ways. Plus, why would you guess, when you can go straight to the source? That’s way easier. When you can go straight to the source, that’s way easier. We need to understand the psychology behind why your clients decided to work with you specifically, or what they were really concerned about, in order to really speak to them in your marketing. Your marketing needs to show them you can solve their problems, and you have to understand what their problem really is in order to do that. Now we think we know what the problem is, but we don’t. We have to talk about what the problem really is, not just what we think.
I’ve had hundreds of clients go through this process and they all go into it thinking they know exactly what their ideal clients care about. They are all at least a little bit wrong. The same is true for me. I’m too close to my own business to see the problem I solve the way my clients do.
I’ve worked with a wedding planner who thought the problem their clients wanted to solve was removing stress. Nope, they wanted someone who could create a unique Indian fusion wedding, unlike their sisters and their brothers and their cousins, that still incorporated their traditions, but did it their way.
I’ve worked with a wedding photographer who thought the problem their clients wanted solved was having a photographer who would be a fly on the wall in this photojournalistic style and wouldn’t bother them to do family shots. Nope, what they actually wanted was to feel good in front of the camera and they were absolutely terrified. They were going to feel awkward on their wedding day.
I’ve worked with a band leader who thought the problem their clients wanted solved was having a fun party. Nope, they wanted to make sure everyone, no matter their age, would be dancing the night away with them. They were really concerned about their older family members feeling left out.
Imagine this you have a migraine and you go to the store to get some sort of a painkiller. Most of the boxes say painkiller or pain relief, but then you see one that says migraine relief. Which one are you going to buy?
I bet you’re going to buy that migraine relief and I bet you would even pay extra for it, because they are selling you exactly what you want. Specificity matters. You can’t get into your client’s heads without asking them and then, until you do that, your marketing just won’t connect. It won’t work.
We do this through ideal client interviews and surveys that follow the clone your best clients process. But therein lies the problem. If you do a client survey or you run ideal client interviews, it can be difficult to pull out the important pieces you need to focus on. You have a lot of words looking back at you. You’re not sure which ones to focus on. This tool does that for you.
This is actually based on something I did for myself with my own ideal client research because, yes, I do this for my business too. I had a survey and I had done a few interviews with my best clients, the people I love and want to work with over and over again, and I just had a lot of information and it was kind of overwhelming. I couldn’t pick out the important pieces and I couldn’t identify the commonalities between what people were saying without going through all of it word for word, and it was insanely time consuming.
Here’s how it works you take things like testimonials, survey responses, transcripts from client interviews and you feed them into this tool. It reads through all of the data and pulls out what your clients love most about working with you and why they would choose you over someone else, the transformation they experienced. So you can highlight that in your marketing, the words and phrases they use to describe their experience. That’s so important because we talk about our work in ways our clients would never talk about it, so they’re not going to identify with it when they see it in our marketing.
And you’ll also get clear messaging you can use in your website, copy emails and social posts. It will even draft your perfect fit statement, which is that powerful little sentence that goes at the top of your website that tells the right clients immediately yes, you are in the right place. This is exactly for you. You’re no longer guessing what to say or how to say it, because you’re using your actual client’s words, and that makes everything you write more powerful and more effective. So here’s the key to getting great results with these tools you have to understand your ideal client. There is no way around it. That is the basis of marketing and sales.
These tools are powerful, but they’re not mind readers, and if you give them vague input, you’re going to get vague output. But if you’ve gone through the clone, your best client process, or even just taken the time to really understand who you love, working with these tools will amplify everything you do. They don’t replace your voice. They help you use it more consistently and more strategically and with a lot less effort, and that’s what makes the difference.
This isn’t you just asking ChatGPT for Instagram post ideas. It is a custom ChatGPT tool that I built and trained on my frameworks that guides you through my proven process of becoming the go-to person for your ideal client and making your marketing easy. It takes your hand and walks you through the process. This isn’t just you know free chat GPT. These tools are built on my unique frameworks and training so they know the information they need to get out of you in order to give you what you want. That’s the thing with AI it wants to give you what you want. But if you’re just using chat GPT and saying give me 10 Instagram post ideas for a wedding planner, it’s not going to work. It’s too vague.
A huge part of what we do inside the Wedding Business Collective is to hone in on why someone should work with you instead of one of your competitors. An AI tool that doesn’t understand that can’t give you marketing. That’s going to make someone believe that they should work with you instead of someone else. So let me give you a few real examples of how members are using these tools.
We had one member use the marketing assistant to turn a single blog post she created into five spinoff topics, each with its own rough draft written in her voice. That alone saved her hours of work.
Another member pasted in transcripts of interviews with past clients and used the client cloner to pull out her perfect fit statement. Then she rewrote her homepage so her ideal clients know she’s the one when they land on her website. And several members are now using the marketing assistant weekly to batch their content for the month, which is something they used to dread and now actually kind of enjoy, and it’s tailored to them.
Remember, generic marketing does not work. Don’t waste your time with it. These wedding pros are saving time. They are creating better marketing, they’re getting more inquiries and booking more of the right clients, and they’re not spending their days staring at a blank cursor wondering what to post.
These AI tools are not just a bonus. They are a massive benefit for members of the Wedding Business Collective. They save you time, they help you stay consistent, they make it easier to connect with people you actually want to work with, and they do it all without adding more to your plate. That’s what I love about them. If you’re already a member, go check them out on the tools page inside of the Wedding Business Collective. You can start using them today.
